Goods arrive, a delivery note comes with them, an invoice follows separately, and somebody reconciles the three by hand. It is one of the last genuinely manual processes left in most businesses, it happens on every single delivery, and it is among the most reliably automatable work anybody still does by hand.
Matching what arrived against what was ordered
The work is comparison: what the purchase order said, what the delivery note claims, what physically arrived, and what the invoice charges.
Discrepancies are common and mostly small — a short delivery, a substituted item, a price that moved since the order — and every one of them is cheap to resolve immediately and expensive to find three months later during a stock count. Automating the comparison means the routine cases pass silently and a person sees only the exceptions, which is the correct division of labour. Two details make it work in practice. The system needs to know which of the three documents wins in each kind of dispute, because that is a business rule rather than a calculation. And it has to handle partial deliveries as a normal state rather than an error, since a purchase order fulfilled across three deliveries is ordinary and a system that cannot represent it will be worked around within a fortnight, at which point everybody is back to the spreadsheet.

What should a person still look at?
Only the exceptions. Routine matches passing silently is the entire benefit, and a system that asks somebody to confirm every correct delivery has recreated the manual process with extra steps. The judgement is needed where the documents disagree, which is a small minority of them.

What is the cost of finding this late?
Considerable. A short delivery or a price change caught on the day is a two-minute email; the same discrepancy found during a stock count three months later means reconstructing what happened from memory, and it is usually resolved by writing off the difference rather than recovering it.
