The instinct when a field feels intrusive is to make it look smaller, which does not work.

The thing that works is answering the question the customer is actually asking: why do you need this, who will see it, and what happens to it afterwards. One sentence beside the field, not behind a link, is enough — and writing that sentence frequently reveals that the field was not needed, which is the cheapest possible outcome. Where the information genuinely is required, the ordering matters. Ask for it after the customer has invested something in the process rather than as the opening move, because a request that seems reasonable at step four is alarming at step one. Say plainly if it is optional, and mean it. And never ask twice: a customer who has already provided something and is asked again concludes either that the first attempt failed or that nobody is paying attention, and both readings damage the same thing, which is the belief that the information is being handled carefully.

How do we make an intrusive field less alarming?

Explain it beside the field in one sentence: why it is needed, who sees it, what happens to it. Making the field visually smaller does nothing, and hiding the explanation behind a link means it is read by the people who were already worried and by nobody else.

Does the position in the form matter?

A great deal. A request that seems reasonable at the fourth step is alarming as the opening move, because the customer has not yet invested anything and has no reason to extend the benefit of the doubt. The same field in a different position performs very differently.

What if writing the explanation is difficult?

That is usually the field telling you something. If nobody can state in a sentence why the information is needed and who reads it, the honest conclusion is often that it is being collected out of habit, and removing it is cheaper than justifying it to every customer who hesitates.
